OFFICE MANAGER

Job Title:            Office Manager
Classification:     Full-time, exempt, “at-will”
Reports To:         Executive Director
Hours:                Tues., Wed. & Fri. 9–5 pm; Thurs. 9–8 pm and Sunday 11-3 pm.
Other weekend dates and evenings as needed.

Job Summary:  The Office Manager is responsible for ensuring the smooth functioning of the organization’s day-to-day operations. Duties include: administrative tasks, volunteer coordination and event support. Evening/weekend events required.

Essential Duties and Responsibilities:

Administrative

  • Assist with administrative functions including correspondence, scheduling meetings, maintaining calendars and supply ordering.
  • Prepare for and attend board meetings (held quarterly).
  • Receive and sort incoming mail and deliveries, and manage outgoing mail.
  • Identify opportunities for office system improvements. Design and implement new systems.
  • Ensure proper demographic data collection for grant reporting.
  • Provide updates to Stonewall’s website utilizing WordPress.
  • Create and update social media posts.
  • Set up Zoom and provide support for virtual public programming.

Volunteer Coordination

  • Manages recruitment of volunteers, conducts interviews, and maintains the volunteer schedule.
  • Conducts volunteer trainings and maintains volunteer handbook and checklists.
  • Responsible for scheduling volunteers for daily needs, exhibitions, programs and events.

Events

  • Provides staff support for special events and programs. Oversees volunteers at events.
  • List Stonewall events and programs on various media and event calendars.

Additional duties as assigned.

Position Requirements:

  • 2-5 years of work experience in an administrative/office management role.
  • Must be a self-starer with ability to work in a small team environment.
  • Must have exceptional attention to detail with strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Must be proficient with Microsoft Office products (Word, Excel, PowerPoint, WordPress)
  • Experience with and understanding of nonprofit, mission-based culture (a clear knowledge of LGBTQIA+ communities is a definite plus).
  • Possess a positive attitude with initiative, reliability, humor, and punctuality.
  • An Associate’s Degree or higher is preferred.

Special Requirements and Physical Demands       

  • Ability to exert physcial effort which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 25lbs), bending, stooping, stretching, squatting, sitting including movement up and down stairs.

MANAGER OF STONEWALL NATIONAL EDUCATION PROGRAM (SNEP)

Classification:     Full-time, exempt, “at-will”
Reports To:         Executive Director
Hours:                Monday – Friday 9:00 am – 5:00 pm
Weekend dates and evenings as needed for the symposium and other events.

Job Summary: The Manager of SNEP oversees and coordinates education programing and content within the Stonewall National Museum, Archives, & Library family of programs and projects, with specific attention to the annual SNEP symposium.

Reporting directly to the Executive Director, the Manager of SNEP coordinates the annual spring Stonewall Symposium and manages SNEP partnerships with educational professionals and sponsors.  They will staff the newly formed SNEP Task Force (a national program), and work as part of the development team in raising funds, including taking a major role in the annual SNEP fundraiser.

They will work with the executive director on ensuring all aspects of Stonewall’s activities have an element that furthers the educational opportunities of our community. The manager will seek out corporate support, while continuing to grow SNEP participation at the Symposium and other events and activities.

Essential Duties and Responsibilities:

  • Maintain SNEP listserve, specific to educators, administrators, school leaders and education advocates. Design and continually update SNEP resources and the SNEP sections of the website. Keep records of all correspondence.
  • SNEP Symposium – Manage the annual SNEP Symposium including curating the program offerings, managing tracks and presenters, and coordinating with participants.
  • Partnership Management – Be the direct contact for SNEP partners, including sponsors for SNEP Symposium and other SNEP programming. This will include the National Task Force and other projects and programs that develop.

Additional duties as assigned.

Primary Objectives:

  • Ensure continuity and efficiency of SNEP Symposium
  • Better understand and reach SNEP community and meet those needs
  • Maintain connection between SNEP and SNMAL offerings with focus on Inclusive Curriculum/LGBTQ+ History and Culture.
  • Ensure that SNMAL programing, and its related educational materials/information is distributed to SNEP Additional duties as assigned.

Position Requirements:

  • Excellent communication and interpersonal skills.
  • Demonstrate knowledge of LGBTQ+ Curriculum, LGBTQ+ Advocacy, and K-12 schools
  • Ability to manage multiple concurrent deadlines.
  • Exceptional attention to detail with strong organizational and time management skills.
  • Fundraising experience
  • Possess a positive attitude with initiative, reliability, humor, and punctuality.
  • Event/conference-planning and coordination background a plus.
  • Experience in K-12 school systems or school-based advocacy a plus.
